Run Your Booking Operation From One Dashboard

This guide focuses on what your team needs day to day: setup, pricing, bookings, dispatch, communication, and going live.

Quick Start

If you are new, follow this exact order:

  1. Create your first website in Dashboard > Website setup with business name and slug.
  2. Add your logo, favicon, and colors in Branding.
  3. Add your vehicles in Vehicles and set each one to Active when ready.
  4. Set pricing in Vehicles (base price, distance tiers, and airport fixed rates).
  5. Add child seats in Settings > Child Seats if needed.
  6. Configure email sending in Email Settings, then send a test email.
  7. Configure WhatsApp (optional) and send a test message.
  8. Open your booking URL from the top bar and place one test booking.

Public Booking Page

Your customers book at /book/your-slug or your custom booking domain.

  • The customer flow is 3 steps: Trip, Vehicle, Contact.
  • The form supports one-way and return trips, luggage, child seat, and payment method (cash/card).
  • New web bookings are created with status New and appear in your Bookings list.
  • Confirmation email, WhatsApp admin alert, and calendar sync are triggered as best-effort automations.

Bookings Workflow

  • Use Bookings tabs to work by queue: New, Confirmed, and Past.
  • Open a booking to view full trip details, extras, and driver assignment.
  • From booking details, use Mark Confirmed and Mark Completed as rides progress.
  • Use Edit Booking to update customer/trip/pricing fields and optionally re-send confirmation.
  • Use New Booking to create rides manually (phone/booked offline).

Pricing Setup

Configure pricing once, then let the quote engine apply it automatically.

  • Vehicle base price works as a minimum fare.
  • Distance tiers apply different €/km by distance range.
  • Fallback price/km is used when no tier applies.
  • Airport fixed rates override distance pricing for airport transfer routes.
  • Stop tiers can add fixed/variable stop-distance charges on fixed-price airport trips.
  • Surge rules apply date-based multipliers (one-time or yearly recurring).
  • Child seats add configured seat price.
  • Card payment fee is added per trip leg (one-way vs return).
  • Final public total is rounded up to €0.25 increments.

Customers

  • Customers are auto-created from bookings, or you can add them manually.
  • Use customer profiles to view booking history, total spend, and contact details.
  • From a customer profile, create a booking with details prefilled.

Drivers And Dispatch

  • Add drivers directly (approved immediately), or generate invite links for self-signup.
  • Drivers who self-sign up start as Pending and require your approval.
  • Assign drivers from the Bookings table or booking detail screen.
  • Set commission when assigning; location-based commission can auto-fill if configured.
  • Each assignment includes a private ride link where drivers can mark rides completed or report issues.

Website And Branding

  • Manage multiple websites in Website and switch the active one from the top bar.
  • The top bar booking button opens the public page for the current website.
  • In Branding, set logo, favicon, colors, and sender/support email identity.
  • In Booking Domain, add your hostname, configure DNS, then click Verify.

Email, WhatsApp, Calendar

  • Configure SMTP once, then choose which template is used for booking submitted, booking confirmed, and test email events.
  • Use Email Log to monitor queued, sent, failed, and bounced delivery states.
  • In WhatsApp, set your admin number, enable alerts, and send a test message.
  • If Google Calendar is connected, bookings are synced and updated automatically.

Multi-Website

  • Use Copy setup to clone vehicles, rates, locations, child seats, and branding to another website.
  • The copy operation replaces setup on the target website for selected sections.
  • You must type the target slug to confirm before running copy.

Billing And Account

  • In Billing, choose a plan, optional add-ons, and continue to checkout.
  • If you already have an active subscription, use Manage subscription to open the billing portal.
  • In Settings, update your profile, account email, and password.

Best Practices (Small Things That Matter)

  • Keep only sellable vehicles Active. Hidden vehicles are not shown on booking pages.
  • Public booking currently shows up to 4 active vehicles, sorted by Sort Order.
  • After pricing changes, place one test booking to verify total and notifications.
  • Set airport fixed rates for your most frequent airport routes before going live.
  • Add location commissions if you dispatch to drivers often.
  • After DNS changes for custom domains, wait for propagation and click Verify again.
  • Use test email and test WhatsApp before launch day.
